Ways of using iCal with a MacBook


Share your calendar online

There are a lot of reasons to share your calendar. Perhaps you and your spouse need to coordinate taking the kids to soccer or picking them up from school. You could share a family calendar that each of you could access from your own MacBook computer, with alarms to remind both of you whose turn it is to do carpool duty. You could create a work calendar to share with your coworkers to coordinate vacation plans or to plan meetings, brainstorming sessions, or presentations.

By publishing your calendar online, you can invite people to check out your schedule or subscribe to receive updates whenever you make changes. They can view it online and see instantly whether you are busy at a certain time or on a certain day. You will need a MobileMe account to publish your calendar unless you use another server, like one from a hosting company for a personal website or a corporate server.

If you are publishing to another server, you will need server and login information for that server account. If you aren’t sure what this information is, you will need to check with your hosting provider.

CTRL-click on the name of the calendar that you want to publish and select Publish to see more options. You can choose which elements you want to make available to viewers and subscribers, such as your notes, alarms, and to-do lists. Select where you want to publish your calendar to, either a MobileMe or another server. If you want to stop publishing your calendar, you can CTRL-click and select Unpublish.

Subscribe to a calendar

You can also subscribe to other people’s calendars just as they can subscribe to yours. Choose Calendar > Subscribe. Enter the web address (URL) of the calendar that you want to subscribe to and then click Subscribe. You can opt whether to remove things like attachments and alarms and set how often you want iCal to check for updates to the schedule.

Import and export calendars

Another way to share your calendar is to export it into a file format and e-mail it. Once the recipient receives your calendar, they can import it to their iCal program. If you export and send your calendar to someone, it won’t be automatically updated when you make changes. If you share it with them through the Publish feature, they can subscribe to your calendar and be able to see when changes are made.

Click the name of the calendar you want to share to select it. Choose File > Export > Export. Attach the exported file to an e-mail to share it. If someone sends you their calendar in return, you can download the file and then select File > Import > Import instead. Browse to the location where the file has been saved and click Import to add their calendar to your list.
